Privacy Policy

This policy explains how Red Phoenix Tae Kwon Do ("Red Phoenix", "we", "us"), 104, 620 - 46 Avenue NE, Calgary, Alberta, handles personal information. We follow Alberta's Personal Information Protection Act (PIPA).

What we collect

• Free trial bookings: your name, email, phone number, the age group and class you're interested in, your preferred day and time, and any notes you add.
• Contact form: your name, email, phone number (optional), topic and message.
• Newsletter sign-up: your email address.
• Memberships: when you join, we collect the student's and guardian's contact details, emergency contact, relevant health information you choose to share (such as injuries or allergies), and payment details for your membership.
• Phone calls and emails: whatever you choose to tell us.

When the student is a child, a parent or guardian provides the information on their behalf.

How we use it

• To reply to your questions and confirm trial classes.
• To place students in the right class and keep them safe on the mat.
• To manage memberships, billing, belt testing and attendance.
• To send news, schedule changes and camp dates, but only if you signed up for our newsletter. Every newsletter email includes a way to unsubscribe.

We don't sell, rent or trade personal information, and we don't use it for advertising.

Who else handles it

We use a few trusted service providers to run the website and our office:

• Netlify hosts this website and receives the forms you submit. Netlify stores form submissions on servers that may be outside Canada, including in the United States.
• Google Workspace provides our email, where form submissions and messages are delivered.
• Payment processors handle membership payments. We don't store full card numbers on our website.

Because some providers store data outside Canada, your information may be subject to the laws of those countries. You can ask us about how these providers protect it.

We may also share information if the law requires it, or in an emergency involving a student's health or safety.

Cookies and website data

• We don't use analytics, tracking pixels or advertising cookies.
• Your browser remembers if you close the announcement banner. This is stored only on your device.
• Our web host keeps standard server logs, such as IP addresses, to keep the site secure and running.
• Our pages load fonts from Google Fonts. The map on our contact page comes from Google Maps, and Google may set its own cookies when it loads. See Google's privacy policy.

How long we keep it

We keep information only as long as we need it:

• Trial and contact requests that don't lead to a membership are deleted within 24 months.
• Membership records are kept while you're a member, and afterwards for as long as tax and legal rules require.
• Newsletter addresses are kept until you unsubscribe.

How we protect it

The website uses an encrypted (HTTPS) connection. Access to student and form records is limited to staff who need it, and the accounts that hold them are password-protected.

Your choices and rights

You can ask to see the personal information we hold about you or your child, ask us to correct it, or withdraw your consent to how we use it, for example by unsubscribing from the newsletter. Contact us using the details below and we'll respond within 45 days, as PIPA requires.

If you're not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner of Alberta.
